The formula
Base total = fixed costs + (guests × variable cost per guest). Your optional contingency is then added, and the result is divided by guest count.
Fixed versus variable costs
A room hire fee or DJ may cost broadly the same for 30 or 40 guests. Food portions and place settings usually rise with headcount. Separating the two helps explain how a guest-list change affects the budget.
Worked example
£400 fixed costs plus 30 guests at £15 each gives £850 before contingency. Adding 5% gives £892.50 total, or £29.75 per guest.
