Measure the space you can actually use
Do not multiply the building's headline dimensions and assume every square metre is available. Deduct fixed features and any area reserved for food, entertainment or equipment.
Choose a layout assumption
Standing and seated parties use space differently. Use a planning allowance appropriate to your intended layout, and keep it editable while comparing venues.
Do not confuse planning capacity with permitted occupancy
