Party Food Planning Checklist

The easiest way to avoid both shortages and waste is to make food decisions in the right order.

Before choosing the menu

  • Confirm the realistic guest count.
  • Separate adults, children and any other materially different portion groups.
  • Record allergies and dietary requirements.
  • Decide whether food is a full meal, buffet, grazing table or snacks.
  • Check what the venue can refrigerate, heat and serve safely.

Before shopping

  • Estimate the total quantity with assumptions written down.
  • Divide that total across the actual menu.
  • Convert quantities into packs, trays, bottles or pieces.
  • Check fridge/freezer and transport capacity.
  • Add only the contingency you actually want.

Final 48 hours

  • Recheck late acceptances and cancellations.
  • Separate allergen-aware/dietary items before service.
  • Label food where confusion is likely.
  • Plan cold storage and safe holding rather than leaving perishable food out unnecessarily.
  • Keep a small reserve back rather than placing every item on the table immediately.
