Party Food Planning Checklist
The easiest way to avoid both shortages and waste is to make food decisions in the right order.
Before choosing the menu
- Confirm the realistic guest count.
- Separate adults, children and any other materially different portion groups.
- Record allergies and dietary requirements.
- Decide whether food is a full meal, buffet, grazing table or snacks.
- Check what the venue can refrigerate, heat and serve safely.
Before shopping
- Estimate the total quantity with assumptions written down.
- Divide that total across the actual menu.
- Convert quantities into packs, trays, bottles or pieces.
- Check fridge/freezer and transport capacity.
- Add only the contingency you actually want.
Final 48 hours
- Recheck late acceptances and cancellations.
- Separate allergen-aware/dietary items before service.
- Label food where confusion is likely.
- Plan cold storage and safe holding rather than leaving perishable food out unnecessarily.
- Keep a small reserve back rather than placing every item on the table immediately.
