Last-Minute Party Planning Checklist
When time is short, stop trying to recreate a long planning timeline. Protect the essentials first and simplify everything else.
First: can the party actually work?
Confirm the date, location, realistic guest count and spending limit. If a hired venue is needed, availability becomes the immediate constraint.
Second: invite people
Use the fastest appropriate communication method and ask for replies quickly. Be clear about time, place and anything guests need to bring or know.
Third: simplify food and drinks
Choose formats that are easy to buy, store and serve. Calculate from the likely headcount; do not compensate for uncertainty by ordering every possible option.
Fourth: solve practical gaps
Check chairs, tables, plates, cups, serving equipment, refrigeration, ice, music and weather backup. Borrowing or simplifying may be better than chasing specialist rentals at the last minute.
What can usually wait?
