Practical party planning guide

How Much Food Do I Need for a Kids' Birthday Party?

There is no single menu or multiplier that fits every children's birthday. Start with who is eating, when the party happens, and what food you are actually serving.

Separate children and adults

Count parents/carers who are likely to stay and eat. Adult demand can be handled separately rather than quietly assuming every adult eats exactly a fixed percentage more than every child.

Choose the menu before multiplying it

If pizza is the main food, sandwich quantities can be zero. If you're serving a traditional finger-food spread, calculate each component deliberately. Avoid adding several “full meal” quantities together.

Timing changes appetite

A party across lunch or tea time can create different expectations from a short mid-afternoon party. Longer events may also need more drinks and snacks.

Keep a sensible reserve visible

A small reserve can cover dropped food, an extra sibling or unexpectedly hungry guests. Keeping it as a separate percentage makes the assumption easy to change.

Check dietary needs before shopping

Ask for allergy and dietary information with enough time to plan suitable alternatives, and keep packaging or caterer allergen information available.
